Minutes of November 19, 2018 Vestry Meeting
Present: Kevin Goodman, Chris Motogawa, Tim Patenode, Monique Austin, Susan Cherco, Ann Searles, Corky Siegfriedt, Dave Turner, Jennie Woodring
Absent: Charlie de Kay, Dustin Vincent, Cynthia Doucet, Jim Kelly, Gary LaBranche, Joanne Wilson
The meeting began at 7:34 pm with a reflection from Chris Motogawa
The Sept 17 vestry minutes were approved with the correction of the spelling of Corky Siegfriedt’s and Terri Morrissey’s names.
Kevin updated/corrected information about the sound system, which is expected to cost a minimum of 8-14K, based upon 3 bids which he obtained several months ago. The old system (analog) has been outdated since 2010 (when systems moved from analog to digital) and cannot be updated. Further upgrades to mic the choir or stream broadcasts from the sanctuary would require additional funding.
While it was suggested at the last meeting that this might make a good Eagle Scout project, Kevin assured the group that it would not.
Jim Kelly will take the lead on moving this project forward.
Financial report – 3rd Quarter – Chris Motogawa (on behalf of Dustin Vincent)
A handout was provided. In summary: all looks good; all bills are paid; the gala was a successful fundraiser, enhanced by underwriting of gala expenses.
We shouldn’t need to draw on the trust in the very near future, but may need to in February or March, to provide cash flow.
Some of our savings have been realized from negotiating our gas rates through a hotel consortium, resulting in bills which are about 1/3 of previous.
Tim suggested it will be important at the annual meeting to inform the congregation that we haven’t needed to use the funds that were authorized at the last meeting – a reflection of good stewardship.
Kevin commented that it feels like St. Matthew’s has turned a corner, and Tim mentioned that we have had many newcomers, adding that Mary Clark has done a good job with the stewardship campaign, with at least three of the 74 pledges to date coming from new pledgers.
Associate Rector’s report – Kevin
The first four-week session of family workshops has seen double the attendance of previous programming. The first inquirers class was attended by several vestry members (with a total attendance of 10-15). Comments were all positive, with the recommendation to make the program more widely promoted to all parish members. Kevin agreed to consider a presentation at the annual meeting.
Community night included a self defense presentation by Chris Dakich. Attendance was 10-15. The November community night will feature advent wreath making.
The Sunday nursery now has a permanent staff.
Confirm not Conform has launched, with nine youth and four new mentors. The next meeting is November 29.
Annual Meeting – Tim
Tim asked for a planning group for the annual meeting, which will be January 27. The group will include Tim, Chris, Kevin and any others that are willing. A booklet will be published, and will include ministry reports. The deadline for ministries to submit reports will be January 13. Last year, Julie Hinz sent notes to ministry leaders to remind them that their reports are due.
Mutual Ministry review - Chris
Andrea Mycen will facilitate the annual mutual ministry review. Monique and Chris will organize the work.
Personnel - Kevin
Kevin will call a personnel committee to replace Damian Barta, who will retire late spring/early summer. Damian may be able to provide contacts for his replacement.
Incense – Monique
Monique spoke on behalf of choir members who expressed concern about incense causing breathing issues. Kevin assured the group that it was burning charcoal, and not the incense – and that weather was the cause of this unusual circumstance, which has been addressed with Bob Purse, senior acolyte.
Executive Session – a brief executive session was held.
The meeting concluded at 8:57.
Next meeting will be December 17, 2018.
