Minutes of June 17, 2019 Vestry Meeting
Present: Charlie de Kay, Kevin Goodman, Tim Patenode, Cynthia Doucet, Monique Austin, Susan Cherco, Connie Conley, Kristin Jacobsen, Bob Purse, Ann Searles, Corky Siegfriedt, Dave Turner, Dustin Vincent, Allison Zidek, Jennie Woodring. None absent
The meeting began at 7:32 pm with a reflection from Charlie
The May vestry minutes were approved.
Charlie brought cookies; Susan Cherco offered to bring treats to the next meeting, with plans for others to continue this into the future.
Charlie asked for the vestry’s support of Terri Morrissey’s deacon candidacy in the form of a letter of support. The letter was circulated for each member to sign.
Choir paid singers – Monique Austin presented information about the number of calls and amount of payment that our eight paid section leaders receive, with a request to come into better alignment with industry standards by increasing the amount paid.
It was noted that this increase to the budget should be part of a broader discussion of St. Matthew’s priorities.
APPROVED – a move to table this discussion until the August meeting, with further study of the issue in the meantime was approved.
Ballet School – Kevin reported that the ballet school would like to add a Tuesday class. Discussion about whether and how much to adjust their monthly payment to St. Matthew’s resulted in a plan to review all building users and the method used to determine monthly charged.
The ballet school will be informed that their payment will be left as-is ($535/month), subject to reassessment in the near future.
Commercial offers to congregation - Kevin
There was discussion about whether or not commercial offers be made available to the congregation through advertising in the bulletin or website, or by flyers/coupons at the back of church. The vestry agreed to limit such St. Matthew’s-facilitated promotion of for-profit entities to the gala.
Canoeing the Mountains – Tim reminded vestry that facilitators, scribes and hosts will be needed for planned small group discussions of the book. Connie suggested that the vestry be the first group to meet, in mid-August, and Charlie said he would ask Christina Padilla if she would host.
Cynthia, Tim and Kristin offered to be facilitators or scribes. There is a need to identify others in the congregation who would serve in this capacity. Kevin will offer facilitator training the week of August 12.
Keeping God’s people safe training will be July 27, from 10:00am-1:00pm. This training is to follow online training. All leaders (including vestry) and those working with children are required to received training every 3 to 5 years.
Active shooter training – following up from the last meeting, Charlie reported that he hasn’t yet heard back from the Evanston Police Department about training. Cynthia will take this on during Charlie’s sabbatical.
Church credit card – Cynthia reported that St. Matthew’s has no credit card of its own, and that employees have used their own credit cards to purchase items for which St. Matthew’s has no billing agreement. The vestry agreed this was not an acceptable way to conduct business. Finance team will work to obtain a credit card for St. Matthew’s; their next meeting is July 9.
Love God, Love Neighbor – Cynthia
The immigration conference led by Episcopal Migration Ministries and held last month at St. Matthew’s had a surplus of $233.
APPROVED – vestry agreed to give the $233 to EMM.
Associate Rector’s Report – Kevin - a handout was distributed
The beach sound system is broken and needs replacement. Kevin has received an estimate for $1300.
APPROVED – vestry authorized Kevin to purchase the sound system.
St. Matthew’s has a newly re-constituted Building and Grounds team, which includes Kevin, Don Cherco, Dudley Conley, John Searles, Bill Siegfried, Bob Teska, and Dustin Vincent. Dustin will serve as liaison to the vestry. First responsibilities will include determining a job description for a new building manager (following Damian Barta’s retirement in May).
Rector’s Report – Charlie
A handout was distributed. Highlighted was the Bishop’s visit July 17.
Executive Session – a brief executive session was held.
The meeting concluded at 9:14.
Next meeting will be July 15, 2019.
