Minutes of January 21, 2019 Vestry Meeting

Present: Charlie de Kay, Kevin Goodman, Chris Motogawa, Tim Patenode, Monique Austin, Susan Cherco, Cynthia Doucet, Jim Kelly, Gary LaBranche, Corky Siegfriedt, Dave Turner, Dustin Vincent, Jennie Woodring

Absent: Ann Searles, Joanne Wilson

The meeting began at 7:30 pm with a reflection from Charlie

The December vestry minutes were approved.

Charlie announced that Cynthia Doucet has agreed to stand for election to the post of junior warden.

Mutual Ministry Review

It was noted that, since the MMR has not yet been done, it would be best to wait until the new vestry is established, and to proceed with the new vestry mid-year in 2019.

The group was reminded that the primary goal coming out of the 2018 vestry meeting was “to implement an intentional welcoming program.” Vestry wasn’t particularly cognizant of the goal over the course of 2018, and should be intentional about goals in the future, possibly using this goal for the coming year.

Goals as set forth in the 2018 MMR were included in a handout summarized here:

Rector: 1. Obtain 10 new pledges 2. Gather suggestions for survey of vestry and worship team 3. Work with worship team to develop one new worship service.

Wardens: 1. Release 3 big communications to greater community 2. Find a mission visible to the community 3. Install better signage

Vestry: 1. Recruit more ministry volunteers 2. Provide 6 communications per year to congregation.

These goals were met in part, but it was noted that an identifiable mission is still needed., and that more specific goals would be helpful to the group.

St. Andrew’s Pentecost Partnership - Cynthia

A handout about the Love God, Love Neighbor Program (Episcopal Migration Ministries) was provided. The churches will host speakers (travel/lodging costs estimated at $3000) May 17 (open to all) -18 (smaller workshop). The group is looking for co-sponsor support for food.

Vestry Retreat – Charlie

An all-deanery vestry retreat will take place March 8-9 at Techny. Registration for Vestry School opens January 22 and the fee is $38. St. Matthew’s will meet Friday night; Saturday will include seven other churches; bishops will be in attendance. The schedule will include three sessions to educate vestries: Mission of the diocese (Bishops), Finance, and Polity (law). Small groups sessions will be interspersed during the day. Charlie ascertained agreement of the vestry to participate.

Associate Rector’s report – Kevin

Eight ministry reports are overdue to Kevin for inclusion in the annual meeting brochure; Julie will send a reminder. Kevin commended Kristin Jacobsen for a job well done leading at the January community night (featuring an altar guild bingo game.)

Rector’s Report – Charlie

A calendar for 2019 was distributed.

The Christmas pageant was well received.

St. Matthew’s will be screening the movie The Long Shadow on February 13. The diocese is promoting the movie, and approached St. Matthew’s to host a screening, based upon our work against racism.

Financial report and discussion– Dustin

A handout was distributed.

The tenor of last week’s financial meeting with the congregation was good, with no sensitive issues. Tim commented that 2018 was a good year of progress, headed toward being self-supporting.

Several regular contributors became pledgers during the stewardship campaign. It was recommended that next years’ campaign also begin early like 2018 (during the October gala).

Building and Grounds budget – more than half is for insurance. It was noted that St. Matthew’s should have a reserve for maintenance.

Chris will continue to monitor finances pending hiring of a new bookkeeper.

Moved – to approve the budget as presented. Passed unanimously.

Annual Meeting – Charlie

A handout of a proposed agenda was presented. Charlie emphasized that he wanted the meeting to be fun. The second of three required votes to take funds from the trust will be included in the agenda.

Departing members – a farewell was offered to Chris, Gary, Joanne, Jim and Jennie.

Executive Session – a brief executive session was held.

The meeting concluded at 9:26.

Next meeting will be February 18, 2019.
